1. Who we are
This privacy policy explains how ZO SWITCH LTD (“ZoSwitch”, “we”, “us”) collects, uses and protects your personal data when you use our website, contact us or work with us.
We are the data controller for the personal data described in this policy. ZO SWITCH LTD is registered in England & Wales (company number 16308659). Our registered office is Unit 5, Amberley Way, Hounslow, England, TW4 6BX.
If you have any questions about this policy or how we handle your data, email us at info@zoswitch.com.
2. The information we collect
We collect personal data in the following ways:
- When you contact us — through our contact form, email or phone: your name, email address, phone number, company name, the services you are interested in and your message.
- When you use live chat — your name and email (if provided), your chat messages, and technical information such as your browser, device and approximate location (from your IP address).
- When you become a client — contact details for you and your colleagues, billing information, and information needed to deliver our services and support (including requests logged in our support portal).
- When you browse our website — technical and usage information collected through cookies and similar technologies, where you have allowed this. See our Cookie Policy.
3. How we use your information
We use your personal data only where we have a lawful basis to do so:
| Purpose | Lawful basis |
|---|---|
| Responding to your enquiry or chat message | Legitimate interests, or steps taken at your request before entering into a contract |
| Providing our services, support and account management | Performance of a contract |
| Sending invoices and keeping business and tax records | Legal obligation |
| Sending news or marketing emails | Consent — you can unsubscribe at any time |
| Understanding how our website is used and improving it | Consent (analytics cookies) |
| Protecting our website, business and legal rights | Legitimate interests |
We do not use your personal data for automated decision-making that has legal or similarly significant effects on you.
4. Who we share it with
We never sell your personal data. We only share it with trusted organisations that help us run our business, and only as much as they need:
- Zoho Corporation — our live chat (SalesIQ), CRM, email and support tools are provided by Zoho, which processes data on our behalf.
- Professional advisers — such as our accountants, lawyers and insurers, where necessary.
- Other service providers — such as payment, hosting or IT providers, under contract and only on our instructions.
- Authorities — where we are required to by law.
All of our processors are required to keep your data secure and use it only for the purposes we specify.
5. International transfers
Wherever possible we use UK or European data hosting (for example, Zoho’s EU data centre). If your data is transferred outside the UK, we make sure it is protected by appropriate safeguards, such as a UK adequacy decision or the UK International Data Transfer Agreement / Addendum.
6. How long we keep your data
We keep personal data only for as long as we need it:
- Enquiries and chat conversations: up to 24 months after our last contact, unless you become a client.
- Client and contract records: up to 6 years after our relationship ends, to meet legal, tax and accounting requirements.
- Marketing preferences: until you unsubscribe or ask us to stop.
After this, we securely delete or anonymise it.
7. How we protect your data
We use appropriate technical and organisational measures to protect your personal data, including access controls, secure and reputable platforms, and limiting access to people who need it. No method of transmission over the internet is completely secure, but we work hard to protect your information.
8. Your rights
Under UK data protection law, you have the right to:
- access the personal data we hold about you;
- ask us to correct inaccurate or incomplete data;
- ask us to delete your data;
- ask us to restrict or object to how we use your data;
- ask for your data in a portable format;
- withdraw your consent at any time, where we rely on consent.
To exercise any of these rights, email info@zoswitch.com. We will respond within one month. There is normally no charge.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113. We would appreciate the chance to resolve your concern first.
9. Cookies
We use cookies to make our website work and, with your consent, to understand how it is used. You can change your choices at any time. Full details are in our Cookie Policy.
10. Children
Our website and services are intended for businesses and are not directed at children. We do not knowingly collect personal data from children.
11. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
